Privacy Policy

 

Principle 1 - Accountability

"STAT is responsible for personal information under its control and shall designate an individual or individuals who are accountable for the organizations compliance with the following principles."  "A specific person must be in charge and responsibility extends to third parties."

STAT shall use appropriate means to provide a comparable level of protection when personal information is transferred to third parties.  A Member at Large of the Saskatchewan Teachers of Applied Technology, herein known as STAT, shall be designated the privacy policy officer and named person will be decided on by the executive each year.


The president, in consultation with the membership and privacy chair, the member at large will ensure that the council's policies and procedures related to the privacy legislation are developed and followed.  The membership and privacy chair will be responsible for compliance with the privacy legislation, including day-to-day oversight.

 

Principle 2 - Identifying Purpose

"The purpose for which personal information is collected shall be identified by the STAT at or before the time the information is collected."

Information will be collected about registered members of STAT for membership purposes only.  This information will be given only to the Saskatchewan Teachers Federation, herein known as the STF.

 

Information collected is used to calculate grant monies designated to STAT, for mailing lists of the STAT bulletin and for the publication Insite.

 

Information about members of STAT shall not be given to third party organizations through the STF or STAT.  The STAT webmaster or any other members with access to the STAT website shall not publish information pertaining to its members.

 

If STAT needs to use personal information for any purpose other than listed above, consent from the member must first be obtained.

 

 Principle 3 - Consent

"The knowledge and consent of the individual are required for the collection, use of disclosure of personal information, except where inappropriate."

In obtaining consent, STAT shall ensure that a member is advised of the identified purposes for which personal information will be used or disclosed.  Purposes shall be sated in a manner that can be reasonably understood by the member.

Written consent must be given by a member to the STAT webmaster if information is to be published on the STAT website.  This does not include school address, phone number, facsimile number or school e-mail address.

 

Principle 4 - Limiting Collection

"The collection of personal information shall be limited to that which is necessary for the purposes identified by the STAT.  Information shall be collected by fair and lawful means."

Personal information collected by STAT shall be from memberships collected at the Annual Convention.  Electronic data transfers such as e-mail may be a suitable method of collection and or transfer between the STAT and its members. The purpose is stated in Principle 2 and information shall not be collected by solicitation

 

Principle 5 - Limiting Use, Disclosure and Retention

"Personal information shall not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual or as required by law.  Personal information shall be retained only as long as necessary for the fulfillment of those purposes."

Use of collected information shall be limited to the use of STAT and the STF.  Data about members shall be kept as long as the membership of the member is still valid.  Any information that is invalid will be destroyed as per the following.  Paper records will be shredded and electronic data will be erased using a Disk Wipe program set to government wipe.

 

Principe 6 - Accuracy

"Personal information shall be as accurate, complete, and up-to-date as is necessary for the purposes for which it is to be used."

Information shall be kept up-to-date by the membership officer, the 1st Vice President and the Secretary Treasurer of STAT.  Records of membership are sent to STAT via the Secretary Treasurer and this position will keep said records secure and confidential in a private location, and not the public place such as school or office.

  

Principle 7 - Safeguards

"Personal information shall be protected by security safeguards appropriate to the sensitivity of the information."

All records and information in the paper form will be kept with the appropriate member of the executive.  This person or persons will keep said records in a secure location and will not disclose of said records to third parties.  Electronic records are to be kept secure on disk or home computer and shall not be kept on a computer or server in a school or business setting.  Said records shall not be kept on a web, network, internet or intranet server.

 

Principle 8 - Openness

"The STAT shall make readily available to individuals specific information about its policies and practices relating to the management of personal information."

The STAT privacy policy shall be published once yearly in the publication Insite and shall be available at all times via the website in our downloads section of this website.  The STAT webmaster is the only person with access to STAT electronic data.

 

Principle 9 - Individual Access

"Upon request, an individual shall be informed of the existence, use and disclosure of his or her personal information and shall be given access to the information.  An individual shall be able to challenge the accuracy and completeness of the information and have it amended as appropriate."

Members shall be granted access to their personal information with STAT upon written request.  Information shall be given about a member only to that member that has made the request.  Members not wanting to have association with STAT may request to have their personal information destroyed as seen fit.  

 

Principle 10 - Challenging Compliance

"An individual shall be able to address a challenge concerning compliance with the above principles to the designated individual or individuals accountable for the organizations compliance."

 

If there is a complaint about a privacy issue it must be directed to the privacy policy officer in writing.  The complaint will be heard and investigated by said officer and the STAT executive.  The person filing the complaint will be responded to in writing with a reply of the investigation and measures taken to solve the complaint.

 

Notes
Amendments will be made whenever there is a change in a practice that has implications for this policy or if a complaint has been found to be justified and a change in policy and practices needs to be made.  If there are changes to the privacy legislation that have implications for this policy, the policy will be changed when the legislation is changed.
